At Rubery Swop Shop, we aim to undertake our activities without requiring and/or collecting personal identifiable information.

We currently collect and process the following information:

  • School uniform sizes required

  • Telephone and/or email address

  • Address

  • Volunteer information (including disabilities)

  • Volunteer bank account details (if required to pay expenses)

  • Website cookies

  • Photos

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • To respond to uniform request and/or queries

  • To pay expenses claims

  • To deliver/post uniform requests

  • To ensure volunteers are checked for suitability to volunteer at the charity and are kept safe

We also receive personal information indirectly, from the following sources in the following scenarios:

  • Referring agencies who are making a uniform request on behalf of a family (we ask for this to be anonymous, but on occasion information is provided to arrange for families to collect items).

  • Volunteer referees

 

We use the information that you have given us to communicate about requests and ensure uniform items are provided where available.

We may share this information on rare occasions (with the consent of the individual) with other charities, agencies and schools.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting ruberyswopshop@outlook.com

(c) We have a legal obligation.

(f) We have a legitimate interest.

 

How we store your personal information

Your information is securely stored.

We keep volunteer information for 6 months from the point that the volunteer leaves. We will then dispose of the information by shredding paper documents and deleting electronic records.

We keep emails for up to 2 years. We will then dispose your information by deleting them.

We keep text and online messages for up to 2 years. We will delete your information after 2 years.

Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information.

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
